Three names, three different products, and vendors use them interchangeably. What each one actually delivers, and how to compare quotes that are not alike.

An answering service takes calls and passes on messages, a virtual receptionist is a person who also books work and handles light admin, and an AI receptionist is software doing the receptionist job end to end. Vendors use all three terms for all three products, which is the main reason quotes in this category are impossible to compare.

What is an answering service?

An answering service answers calls you cannot take and records what the caller wanted, usually passing it to you as a message. The classic version is a call centre with your script in front of them.

Its defining limitation is that the output is a message rather than a completed action. Somebody at your end still has to do the work.

What is a virtual receptionist?

A virtual receptionist is a person, usually remote and usually shared across several businesses, who answers as if they work for you and can act rather than just record. Booking an appointment, taking a payment detail or updating a job would all be in scope.

The difference from an answering service is authority, not headcount. A receptionist is allowed to do things.

What is an AI receptionist?

An AI receptionist is software that performs the receptionist role: it understands what the caller wants, answers from your approved information, and books or routes the job. It is not a recorded menu and not a voicemail transcription.

The distinction that matters commercially is that it does not meter human minutes, which is why AI services run $50 to $300 a month against $100 to $1,000+ plus per-minute charges for live, per Nextiva's 2026 breakdown.

How do the three actually compare?

They differ on who answers, what you get when the call ends, and how you are billed. An answering service hands you a message and meters minutes, a virtual receptionist completes the task and meters minutes, and an AI receptionist completes the task on a flat monthly fee.

Which one am I actually being quoted for?

Ask what the service does when the call ends. If the answer is "we send you a message", it is an answering service regardless of the word on the invoice.

If it is "we book it into your calendar", it is a receptionist product, human or otherwise. That single question resolves most of the confusion in this category.

Does the terminology matter for search or just for buying?

Both, and it is worth knowing that "ai receptionist" returns 1,000 Canadian searches a month against 40 for "missed call text back", a gap of twenty-five times, even though the products overlap heavily. Buyers have settled on the receptionist wording.

What should a trades business be shopping for?

Usually the AI receptionist or text-back category, because the calls are routine, the volume is unpredictable and nobody is at a desk. The exception is emergency-heavy work where a human needs to triage.
