AI workflow automation is a workflow where at least one step needs a model to interpret something rather than follow a rule. Reading a voice note and turning it into a draft quote is AI. Sending that quote three days later if nobody replied is not, and never needed to be.

What makes a workflow "AI" rather than just automated?
A workflow is AI-driven when a step produces an output nobody specified in advance. Interpreting free text, summarising a call, drafting from a photo, classifying an enquiry by urgency: those need a model because the input is unstructured.
Everything with a fixed set of outcomes is a rule, and rules are faster, cheaper and easier to debug. If a vendor cannot tell you which steps in their workflow are model-driven, they either do not know or do not want you to ask.

Does AI workflow automation actually save contractors money?
For construction and mechanical businesses, BDC reports AI can cut time spent on estimates by 20% to 40%. That is the single largest AI-specific gain available to a contractor, because estimating is unstructured work and unstructured work is exactly what a model is for.
The rest of the savings BDC describes, 10% to 25% of office payroll from automating repetitive tasks, come mostly from ordinary automation rather than from models. Attribute the gain to the right thing so you buy the right thing.
What is the risk of putting AI in a customer-facing workflow?
That it answers confidently and wrongly to someone who is about to spend money with you. The mitigation is not a better model, it is a narrower job: give it your approved information only, and have it hand off to a person the moment the conversation stops being routine.

Which tools do contractors usually end up using?
The general-purpose orchestration tools, Zapier, Make and n8n, connected to whatever field service system you already run. The AI step is normally an API call inside that workflow rather than a separate product.

Should I build this myself?
