Cloud based workflow automation means the automated process runs on a hosted service rather than on a machine in your office, so the truck and the office are working from the same record at the same time. For a field service business that is the whole point: the gap between what the technician knows and what the office knows is where the money goes.

It matters more in trades than in most industries, because half your workforce is never at a desk.

What does cloud based workflow automation mean?

It means the software running your automated processes lives on a hosted platform reachable from anywhere with a connection, rather than installed on a specific computer. The practical consequence is that a technician updating a job at 4pm in a crawlspace and the office looking at the same job are seeing one record, not two.

The alternative, which plenty of shops still run, is a desktop system plus paper plus a group chat. That is three sources of truth, and they disagree.

Why does this matter more for a trades business?

Because your people are distributed by definition and the record has to travel with them. An accountant and a lawyer both work near their systems. A plumber does not.

Every handoff between the field and the office is a chance for information to be lost, re-keyed or delayed. Cloud based workflow removes the handoff rather than speeding it up.

What happens when the crew has no signal?

Good field systems queue the work locally and sync when the connection returns, and you should test this before you buy rather than after. In much of Alberta and interior British Columbia this is not an edge case, it is Tuesday.

Ask the vendor directly what happens if a technician completes a job with no bars and then drives home. If the answer is vague, assume the data is lost.

Where is my data actually stored?

On the vendor's infrastructure, in a region they choose unless you ask, and you should ask. For a Canadian business handling customer addresses and payment details, knowing whether the data sits in Canada, the United States or elsewhere is a reasonable question with a specific answer.

It is rarely a dealbreaker, but it is always worth having in writing. We publish our own approach to security and data so ours is checkable.

Is cloud based automation more expensive?

Usually cheaper to start and more expensive to leave. Monthly subscription costs less up front than a server and a licence, and the switching cost accumulates quietly as more of your operation depends on it.

The number to watch is not the monthly fee. It is whether you can export your own data in a usable format, which is a question to ask on the way in rather than on the way out.

Do I need this if I already use a field service platform?

Probably not as a separate purchase, because ServiceTitan, Jobber and their competitors are already cloud based. The gap is normally not the platform, it is that the automation inside it was never configured.

What should I check before committing?

Four things: offline behaviour, data export, where the data is stored, and who at your company owns the configuration. The last one is the one that gets skipped and it is the one that decides whether the system is still working in a year.

Software does not fail in a small business because it was the wrong software. It fails because nobody was responsible for it.
